If something is broken after departure – deal with damage confidently and fairly
Anyone who regularly accommodates groups knows the situation: a group is about to leave, the beds have been stripped, the dining room has been swept – and then you suddenly discover a crack in the sink, a dented door or a damaged piece of furniture. Such situations are unpleasant, time-consuming and nerve-wracking, and often raise the question: who actually pays for this?
First, the good news: as a rule, groups travelling with Henser Travel Service are insured against such damage. No one expects property managers to be left with the repair costs. However, the decisive factor is how damage is identified, documented and reported. A structured approach here avoids later discussions and ensures fair and smooth processing – for everyone involved.
Record damage immediately – the sooner, the better
The most important principle is:
Damage must be documented as soon as possible.
Ideally, rooms and common areas should be inspected together with the group leader immediately after the group’s departure. If damage is discovered, it should be recorded in writing immediately – preferably in the handover report provided by Reiseservice Henser. Reiseservice Henser can only help with mediation in the event of damage if a handover report has been completed and signed by both parties.
This report is more than just a form:
it is the central basis for subsequent damage settlement. If the property manager and group leader jointly confirm and sign the damage, there will be no uncertainty later about when and how the damage occurred.
If damage is only reported days later, it becomes much more difficult. In such cases, the group may dispute that they caused the damage. Without clear documentation, it quickly becomes a case of one person’s word against another’s – and in case of doubt, the burden of proof lies with the property.
Photos, notes, clear information
In addition to the handover report, we strongly recommend photographic documentation. A photo of the damaged sink or broken door often says more than many words. It is important that the photo clearly shows the damage and, if possible, also shows the room.
In addition, the following should be noted briefly:
- Where is the damage?
- What is damaged?
- How extensive is the damage approximately?
The clearer this information is, the easier it will be to assign responsibility later – both for the group and for the insurance company.

No invoice, no money – it’s that simple
One point that is often underestimated:
Damage can only be reimbursed on the basis of an invoice.
This means that even if a caretaker quickly repairs a minor issue or a piece of furniture is replaced, neither the group nor its insurance company can settle the claim without an official invoice.
It is therefore important to arrange for repairs or replacements as soon as possible after the damage has been identified and to obtain a corresponding invoice. This invoice should then be submitted as quickly as possible. If a repair is delayed (e.g. due to delivery times or tradesmen’s appointments), this delay should be documented and communicated. It is often helpful if the invoice is issued directly in the group’s name with the appropriate address.
Clear processes create trust
Even though damage is annoying, it is just as important for group leaders and participants to be treated fairly and transparently. Clearly documented, traceable damage creates trust – and ensures that the settlement usually proceeds smoothly and without discussion.
Property managers who consistently work with handover reports, photos and invoices not only protect themselves, but also contribute to a professional collaboration with Reiseservice Henser and the groups.
Damage can never be completely avoided in group operations – but stress and disputes can.
Those who record damage immediately, document it together and ensure that a proper invoice is issued have the best conditions for a quick and fair settlement. And in the end, this is exactly what ensures that all parties can concentrate on the essentials: a good time for the groups and reliable occupancy for your establishment.
Reiseservice Henser supports you with clear processes, forms and contact persons – so that minor mishaps do not turn into major problems.
